Your privacy at a glance

We built PCN Letter to generate a letter quickly with as little data as possible. This page explains what we collect, what we don’t, and your choices.

Summary

  • We do not create user accounts for this MVP.
  • Wizard answers are used to build your letter and are not stored in our database. Do not include sensitive data in free-text.
  • Payments are processed by Stripe; we receive payment status and a session ID, not your full card details.
  • We do not sell your data. We share data only with essential providers (e.g., Stripe, hosting) to run the service.

1) What we collect & why

  • Wizard inputs (operator/site names, dates, checkbox choices, brief description) — used to generate your appeal letter. These are processed in-memory on our servers and returned to you on the result page. We do not create an account or persist this content in our own database for the MVP.
  • Payment info — handled by Stripe. We receive a payment status, amount, and session ID to verify your purchase. Your card details never touch our servers.
  • Basic logs — standard server logs (IP, user-agent, timestamps, error traces) to keep the site secure and diagnose issues.
  • Support messages — if you email us, we’ll process your email address and message to respond.

Tip: keep your free-text descriptions factual and minimal; avoid sensitive personal data.

2) What we don’t collect in the MVP

  • No user accounts or passwords.
  • No marketing trackers or ad pixels.
  • No file uploads (photos/documents) stored on our servers.

3) How we use your data

  • Generate and display your appeal letter after payment.
  • Verify payment and prevent fraud/abuse.
  • Operate, secure, and improve the site (logs, analytics if added).

4) Sharing & processors

We share data only with providers necessary to deliver the service:

  • Stripe (payments). Privacy: stripe.com/privacy.
  • Hosting (e.g., Vercel/DigitalOcean). They may process logs to keep the platform secure and reliable.

We do not sell your data. We do not share with advertisers.

5) Cookies & analytics

We don’t use marketing cookies. Stripe Checkout may set cookies needed to operate secure payments. If we later add privacy-friendly analytics (e.g., Plausible/Umami), we’ll update this page.

6) Data retention

  • Letter inputs — processed to generate your letter and not stored by us in a user account.
  • Payment records — retained by Stripe to meet legal obligations. We may keep the Stripe session ID and minimal logs for reconciliation and fraud prevention.
  • Support emails — kept as long as necessary to handle your request.

7) Security

We use HTTPS and reputable infrastructure. No system is 100% secure, but we aim to apply reasonable technical and organisational measures.

8) Your rights (UK/EEA)

You may have rights to access, correct, or request deletion of personal data we hold about you. Because we do not run user accounts, provide us with your Stripe receipt or session ID so we can locate any relevant records.

9) International transfers

Our providers (e.g., Stripe, hosting) may process data outside the UK. Where applicable, they implement appropriate safeguards (e.g., SCCs). See their policies for details.

10) Children

PCN Letter is not intended for children under 16. Do not use the service if you are under 16.

11) Changes to this notice

We may update this Privacy Policy as we evolve the service. The “Last updated” date reflects the latest version.
